St. John Regional Catholic School, located in Frederick, MD is seeking an Executive Assistant. This position provides comprehensive administrative support to the Principal and plays a vital role in ensuring the smooth, efficient, and mission-driven operation of the school. This position supports the Principal, administrative team, faculty, staff, families, and visitors while upholding the values and expectations of a Catholic PK–8 school. The Executive Assistant must demonstrate professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment.
Essential Functions
- Uphold all Archdiocese of Baltimore (AOB) and school policies while maintaining strict confidentiality.
- Exercise sound judgment in all matters involving students, families, staff, and school operations.
- Demonstrate professionalism in communication and demeanor when serving families, visitors, faculty, and staff.
- Support and model the mission and values of the Catholic Church; participate in liturgies and religious activities.
- Manage calendars, scheduling, substitute coordination, and meeting logistics.
- Support database management and maintain accurate administrative records.
- Prepare agendas, minutes, administrative binders, and handbooks.
- Draft and manage communications, including the weekly Faculty Newsletter.
- Draft and respond to phone calls, emails, letters, and official correspondence.
- Maintain organized filing systems, updated staff lists, and documentation.
- Support purchasing, credit card documentation, and timesheets.
- Manage onboarding, personnel files, reference checks, and staff documentation.
- Uphold confidentiality and support the Catholic mission of the school.
- Assist with school-wide events, professional development days, and administrative projects.
- Use strong judgment, problem-solving skills, and prioritization to support the school community.
Position Qualifications
- Some college coursework preferred; associate or bachelor’s degree is a plus.
- 2–5 years of administrative support experience (school experience preferred).
- Proficiency in Microsoft Office and Google Workspace.
- Strong written and verbal communication skills.
- Excellent customer service skills, organization, and attention to detail.
- Ability to multitask, prioritize responsibilities, and adapt to changing needs.
- Strong problem-solving skills and ability to handle ambiguity.
- Punctuality and reliability required.
- Ability to pass background checks and complete VIRTUS/Shield the Vulnerable training.
Pay Rate: $23.00, Hourly
