POSITION DESCRIPTION: The Development and Grant Manager oversees nearly every part of the fundraising process. The role of a Development and Grant Manager is to plan and execute the fundraising process by working with the program and finance team to work within the annual programs’ budget, support program staff in researching fundraising opportunities, manage documents and deadlines, track program outcomes and deliverables, and much more. The Development and Grant Manager does whatever is necessary within the development and grant process from start to completion. In collaboration with the Director of Development and the Chief Advancement Officer, the Development and Grant Manager ensures that the Catholic Charities Diocese of San Diego (CCDSD) programs and services are fiscally sustainable through various fundraising activities.
JOB RESPONSIBILITIES INCLUDE:
· Creating and managing the grants process. This includes working with CCDSD teams to create
workflows and a matrix of responsibilities at each of those workflow states that are needed to
support the grantmaking process. The Development and Grant Manger also works closely with
CCDSD program team members to make sure the grant process is mutually beneficial for them and
the CCDSD Administration.
· Oversee the tracking and management of all grants, ensuring proper documentation, timely
reporting, and successful fund utilization.
· Managing compliance. Ensure that CCDSD follows compliance standards in accordance with
government regulations and grant requirements.
· Prepares proposals by conducting research, gathering internal and external data to support grant
requests, writing drafts, and obtaining approvals from the appropriate CCDSD Leadership Team.
· Research funding opportunities, identify funding needs and opportunities, and attend strategy
meetings.
· Ensures that the department meets proposal deadlines by determining priorities and target dates for
information gathering, drafting, editing, revising, and submitting proposals.
· Create reports on Fundraising progress, grant outcomes, and donor engagement for leadership and
stakeholders.
· Writes and edits executive summaries, conclusions, and organizational and program descriptions for
both private and public grants.
· Prepares presentations by assembling and overseeing the printing and digital presentation of
proposals, including text and graphics.
· Maintains the overall quality of proposals by creating, maintaining, and revising proposal templates
and proposal support databases.
· Oversee the development, submission, and reporting of all grant applications, ensuring accuracy,
timeliness, and compliance with funder expectations.
· Drafting grants and other related reports to the CCDSD Leadership Team.
· Coordinating and engaging with the CCDSD Leadership Team on funding needs, opportunities, and
processes.
· In collaboration with the CCDSD Fiscal Team, ensure adherence to grant compliance standards,
including monitoring financial and programmatic obligations.
· Tracking grant applications.Reaching out to funding sources when grants are pending for decision
date.
· Maintain accurate and timely progress notes on all grants/donors/funders as they relate to
fundraising, as necessary.
· Represent CCDSD at funder meetings, site visits, and external engagements as needed.
· Manage projects and special assignments and other duties as assigned.
· Manage In Kind Donations and reporting, meet with donors as needed for delivery.
· Research opportunities to increase funding pipeline through Wealth Management System
· Management and Implementation of Annual Grant Calenda
· Assisting with Annual Appeals, and stories, including filming and editing
· Represent Catholic Charities at events and networking opportunities
QUALIFICATIONS:
· Experience with grant management in a fast-paced environment; nonprofit experience is preferred.
· Experience interfacing with a large and active team.
· Highly organized, analytical thinker. Exercises good judgment.
· Easily adapts to change and is able to flex to shifting priorities.
· High level of integrity and discretion in handling confidential information.
· Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), grant management software,
and Adobe Acrobat Pro.
· The ability to use good judgment, make quick independent decisions, and make timely
communications.
· Prioritization and management of multiple responsibilities simultaneously.
· Steady competence and focus when facing rapid rates of changing demands.
· Passion for maintaining a high bar for quality with a critical eye for detail.
· Effective collaboration and influence with stakeholders from a variety of functions and businesses at
every level.
· Maintain a very high standard of confidentiality on all matters related to CCDSD, including
communications with individuals within or outside CCDSD.
· Expert level written and verbal communication skills. Meticulous writing and editing skills.
· Demonstrated proactive approaches to problem-solving with strong decision-making capability.
· Knowledge of donor agencies.
CERTIFICATES, LICENSES, AND REGISTRATIONS:
Valid California Driver’s License and current automobile insurance in compliance with Agency requirements. This position is subject to a background check.
PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This person must be able to remain in a stationary position 50-75% of the time.
· The person in this position needs to be able to move about inside the office to access filing cabinets,
office machinery, etc.
· Constantly operates a computer and other office machinery.
· Weights of up to 25 pounds are occasionally lifted (carrying devices provided).
