culture of respect and inclusion. The Assistant to the Dean manages the
day-to-day operations of the Dean\'s Office and serves as liaison to 15
department chairs and assistants and 3 ROTC units in the college, as
well as to numerous other university offices. This position coordinates
scheduling, communications, and preparation for meetings for the Dean.
Scope also includes the management of the annual Promotion & Tenure
process, the sabbatical program, and special events planning for the
college. The Assistant to the Dean also assists with answering the
phone, responding to emails and greeting visitors. Duties and
Responsibilities Administrative Support: - Provide administrative
support to the Dean\'s office and act as liaison to departments, Chairs
and administrative assistants. Read, analyze, investigate, collaborate,
delegate and/or respond as appropriate to all incoming correspondence on
behalf of the Dean, the Dean\'s office, and/or the college. - Track the
Dean\'s calendar, set up meetings, help with preparation of materials,
and assist with logistics related to meetings. Collaborate with Dean,
Associate Deans and budget director to prepare agendas and other meeting
materials. - Manage the Promotion and Tenure process for all faculty in
the college to ensure faculty dossiers are complete and accurate.
Maintain faculty spreadsheet and track all communications involved in
determining timebound year. Prepare all communications to department
Chairs, faculty members, area committee members, and Provost Office with
regard to this process. - SharePoint administrator for the college:
maintain college site and review to ensure dossiers are in order, upload
materials and provide assistance to departments as needed, approve,
grant, and remove security access for department Chairs, assistants and
area committee representatives. Review dossiers for accuracy and
completeness and assist Dean in preparing Dean\'s letters. - Answer
calls and questions from other MU internal offices, parents, students
and external stakeholders. Organize, oversee, and maintain all college
(departmental, Advancement, alumni, etc.) and faculty (per onnel,
promotion and tenure, awards, etc.) files, both paper and electronic. -
Track and support department Chair elections, (re)appointments and
evaluation. Coordinate the thank-you card process for the dean to
acknowledge donor gifts and track donor correspondence. - Create and
distribute Dean\'s list letters to students. Faculty Support: -
Establish timelines and coordinate process for Way Klingler Awards
(Early Career and Sabbatical Fellowship) as well as teaching awards and
any other faculty-related awards or programs. Prepare communications to
department Chairs, faculty members and Provost Office; track application
materials and draft the Dean\'s recommendation letter. Encourage faculty
to apply for each award as appropriate. Coordinate nomination and
election process for A&S University Academic Senate representatives and
members for UAS and other committees. Coordinate annual Celebration of
Research event for college. Student & Admissions Support: - Coordinate
with Student Success Coordinator and College Admissions liaison to
manage setup and takedown of tables and panels for Admitted Student Days
when these are held in Sensenbrenner. Assist the Director of Records
with commencement coordination and work at commencement Coordinate
college and department awards for commencement. Respond to graduating
student questions of the Dean\'s office. Support Student Success
coordinator as needed. Facilities: - Serve as the main point of contact
for all building-related questions and issues, including several shared
spaces. - Manage bookings and schedule for Eisenberg Room. - Responsible
for the supervision of student employees which includes but is not
limited to hiring, training, disciplinary actions, ending the student\'s
assignment, etc. Required Knowledge, Skills and Abilities - Bachelor\'s
degree - A minimum of 4 years of related administrative experience. -
Exhibits a high level of professionalism and ability to succeed in a
fast-paced work environment. - Shows attention to detail and good
organizational skills. - Computer proficiency, including knowledge of
Microsoft Office products. - Demonstrated attention to detail,
professional attitude, and ability to maintain confidentiality. -
Knowledge of budget processes and systems. - Self-starter, ability to
work independently and take initiative as needed. - Ability to work
under pressure and meet required deadlines. - Strong orientation to
provide high-quality customer experience. - Ability to collaborate
effectively. - Strong grammar and writing skills; tact, diplomacy and
Verbal Skills Suitable For a College Environment Required. Preferred
Knowledge, Skills and Abilities - 6-7 years related experience -
Supervisory experience - Previous experience in higher education
