About the Director of Finance Position
The Director of Finance leads Catholic Charities, Madison’s finance team: currently a Controller, two Accountants and an Accounts Receivable Specialist. The Director serves on the leadership team under the Executive Director. This person leads the oversight, planning and implementation of budgets, forecasting, accounting and reporting for all programs. They will be focused on strategically guiding and advising the Executive Director and programming leaders in how to best use resources to achieve the mission and vision of Catholic Charities and will serve as the main contact to the Board of Directors for all things related to fiscal management of the organization. The Director of Finance will use Blackbaud software daily. He or she will negotiate contracts and serve as the key financial leader for audits and compliance with fiscal providers’ requirements, and will steward informed financial decision making at all levels of the organizations with their team. The ideal candidate does not need to be Catholic but must respect Catholic Social Teachings and care deeply for the mission and the work. This person will work in the office four days a week, with the option to work from home one day per week, with flexibility if personal issues arise from time to time.
Primary Duties and Responsibilities
- Assists the Executive Director with the leadership of the organization by providing accurate financial information to be used in decision-making, effectively using the organization’s resources within the parameters of the mission, contracts, and regulatory agencies.
- Communicates effectively to keep senior leadership informed of the organization’s financial status.
- Presents critical financial information to the Board of Directors and various committees for all entities, including budgets, audit reports, tax filings, financial statements with variance analysis, investment information, and other information as required for strategic decision-making. Regularly attends Catholic Charities board and committee meetings as requested by the Executive Director.
- Assists the Executive Director in establishing company culture by modeling best practices to staff and contributing actively to the overall daily execution of mission-focused strategies.
- Provides financial information and funding proposals, budgets and projections to management for program decision-making and new program development.
- Develops and oversees the process of reporting financial information to outside agencies per contracts or regulations, including interim expense reports, Medicaid cost reporting, allowable cost reporting, audit schedules, tax returns and filings, DOL 5500 filings, 403(b) reporting, and other information as requested.
- Coordinates and leads the annual audit and tax process for all entities, as the primary contact person for auditing firm and for outside agencies, ensuring that the financial data published is reliable, and that external reporting is completed in a timely manner.
- Manages cash flow and forecasting for the whole organization. Ensures that the contract billing and collection schedule is adhered to and that financial data and cash flow are steady and support operational requirements.
- Directs the management of the investment portfolios based on guidelines provided by the Board of Directors.
- Leads the Accounting Team by:
- Establishing and monitoring policy, procedures, and accounting practices in accordance with strong ethical values, Generally Accepted Accounting Principles (GAAP), company policy, funding agency contracts, and applicable regulatory agency guidelines and laws.
- Analyzing transaction processes to insure proper segregation of duties, internal controls, and reliability of financial data.
- Guiding the Accountants in their decision making on unusual items and reviewing all non-standard transactions.
- Establishing guidelines for budget process and audit work paper preparation.
- Providing timely feedback to staff, regarding both positive performance and areas for improvement.
- Encouraging staff growth and development through proper internal training and external seminars.
Required Skills/Abilities
- Minimum of five plus years progressive accounting responsibility with experience in non-profit financial management, Bachelor degree in Accounting desired, not required
- CPA license, desired, not required
- Practical knowledge of GAAP for preparing, presenting and reporting financial statements
- Strong fluency with Blackbaud software
- Ability to establish and maintain an effective system for organizing multiple projects, requests, deadlines, emails, and paper streams
- Ability to communicate effectively and have a strong sense of customer service
- Proficiency with MS Office software
- Experience with Payroll law, 403(b) retirement plans, and Form 5500 filings, a plus
- Experience with A-133 audits and Form 990 taxes, preferred
- Experience with nonprofits who have affiliations with other partner organizations, strongly desired
