Job Summary:
The Baptism and Wedding Coordinator manages the preparation, scheduling, and documentation for baptisms and weddings at Saint Mary Cathedral. This role serves as the primary point of contact for families and couples preparing for these sacraments and ensures all requirements are completed in accordance with parish and diocesan policies. This position reports to the Director of Operations/Finance.
Ministerial Character
The Rector is the visible principle and foundation of unity in the parish, Saint Mary Cathedral, which the bishop has entrusted to him. He makes Christ’s mission present and enduring in the parish. To fulfill his mission, the Rector employs suitable, chosen collaborators (clerics, religious or lay people). He shares his mission with them and entrusts various responsibilities to them.
Positions employed at Saint Mary Cathedral help to extend the ministry of the Rector in particular ways as outlined in the job description. Therefore, the employee in this position is closely connected to and assists the Rector in the performance of his/her ministry and thereby engages in ministry for the universal Church.
Essential Job Duties
- As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of Saint Mary Cathedral in both your professional and personal life.
- Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
- Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.
- Serve as the parish liaison for individuals and families seeking baptism or marriage through walk-ins, phone calls, and email communication.
- Provide information regarding parish and diocesan requirements for baptism and marriage preparation.
- Collect and process required documentation and payments.
- Coordinate baptism and wedding schedules with clergy, couples and families.
- Submit and manage reservation requests for baptisms, weddings, rehearsals, and preparation sessions on the presider calendar.
- Provide tours of the Cathedral, bridal suite, and campus for engaged couples preparing for the Sacrament of Marriage.
- Coordinate marriage preparation requirements, including registration for Together in God’s Love and certificates of completion.
- Plan and coordinate food, materials, and supplies for marriage retreats
- Assist couples and families with scheduling preparation meetings and rehearsals.
- Create sacramental certificates for baptism and marriage, to include recording baptism and marriage sacraments in parish sacramental book.
- Mail sacrament of marriage notifications to church of baptism.
- Attend staff meetings and related training as required.
- Additional duties as assigned.
Requirements
Knowledge, Skills, and Abilities:
- Bilingual, English/Spanish speaker, preferred
- Ability to work weekends
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Strong attention to detail; demonstrate proofing and editing skills
- Knowledge of principles and practices of organization, planning, records management and general administration
- Ability to work with little direction
- Ability to operate standard office equipment including but not limited to computers, telephone systems, typewriters, calculators, copiers and facsimile machines
- Strong interpersonal skills, including the ability to interact well with visitors, parishioners and staff
Experience
Minimum Qualifications:
2 years of administrative experience
Language
Bilingual (English/Spanish) preferred

Licenses/Certifications
- Valid Texas driver’s license.
- Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
Working Conditions
- Employees of Saint Mary Cathedral are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the Church.
- Saint Mary Cathedral is an at-will employer.

- Working in a fast-paced environment with priorities and plans that may change rapidly.
- Working on weekends and evenings, and some holidays may be required.
- Will be exposed to religious ceremonies, conduct, and speech, including Catholic Christian prayer and liturgical celebrations.
- Will be required to adhere to dress codes and conduct standards, including but not limited to EIM standards of conduct in the workplace and outside of the workplace
- May be required to use personal vehicles to drive to other parishes or other off-site locations.
- Traveling within and outside the parish to meetings and other events may be required.
- Will be required to conform personal and professional activities to be consistent with and supportive of the mission, purpose, and moral teachings of the Roman Catholic Church.
