THE ROLE
You will work directly alongside our Operations Manager to plan, coordinate, and execute 30+ international group pilgrimages simultaneously. This is the organizational backbone of our operation - keeping programs on track, clients informed, and every detail airtight. No two days are the same.
WHAT YOU'LL DO
• Assist the Operations Manager in planning international group trips from booking through departure
• Communicate daily with travelers by phone and email - with patience, warmth, and professionalism
• Prepare and maintain traveler records, itineraries, and reservations
• Coordinate with vendors, suppliers, and travel partners as directed
• Proofread brochures, itineraries, and marketing materials - accuracy is non-negotiable
• Support special projects and step in wherever the team needs you
• Occasional international travel of 10-12 days may be required
WHAT YOU BRING
Must Have:
• Exceptional organizational and planning skills
• Superior written and verbal communication
• Proficiency in Google Workspace (Docs, Sheets, Gmail, Drive)
• Comfort with AI tools and emerging technology
• Meticulous attention to detail
• Patience - genuine, consistent, and unshakeable
Strongly Preferred:
• Travel agency or group travel experience
• Accounting or bookkeeping background
• Familiarity with faith-based or pilgrimage travel
* Customer service and administrative background
