Opportunity
Bishop Blanchet High School is seeking highly qualified applicants for the position of Assistant Director of Development, Events and Sponsorship Manager. We are looking for a faith-filled team member, dedicated to Catholic education, who excels in customer service and fostering positive experiences, and is deeply committed to clear communication, organizational effectiveness and working collaboratively as a team member of the BBHS Development Department.
Responsibilities
We are seeking a dynamic Event and Sponsorship Manager to plan and execute impactful fundraising and community-building events for the Blanchet community. This role is responsible for overseeing all aspects of event management, including budgeting, logistics, audience engagement, vendor and volunteer coordination, sponsorship development, donor stewardship, auction procurement, and post-event evaluation. The person will cultivate relationships with sponsors, advertisers, donors, local businesses, volunteers and community stakeholders, ensuring exceptional event experiences while maximizing fundraising revenue and community engagement. Ideal candidates will be highly organized, adept writers with exceptional verbal and written communication skills across various platforms. Additionally, this role will contribute to strategizing and executing fundraising initiatives, including annual giving and capital campaigns.
Key Responsibilities Include
Gala Lead
- Develops and executes a comprehensive Gala plan in collaboration with the Gala committee, staff, parents, and volunteers, while overseeing all revenue and expense budgets, tracking financial performance, and ensuring the event meets or exceeds fundraising goals.
- Responsible for planning, coordinating, and executing the Gala from concept through completion. Duties include managing event budget and financial reporting, developing and maintaining project timelines, and ensuring all deadlines are met.
- Oversees contract negotiation and vendor management for catering, audiovisual services, rentals, entertainment, and other event-related services.
- Collaborates with designers, printers, and marketing partners to produce promotional and event materials consistent with organizational branding.
- Coordinates all event logistics, including venue setup, audiovisual requirements, décor, registration, and post-event cleanup.
- Recruits, trains, and supervises volunteers and onsite vendors to ensure seamless event operations. -Oversees registration, bidding, checkout, and donor stewardship processes before, during, and after events.
- Conducts post-event evaluations and prepares comprehensive reports to assess outcomes, identify opportunities for improvement, and support future event planning.
- Gala Audience Development and Registration Lead
- Manages audience development initiatives, guest lists, RSVP tracking, seating arrangements, and attendee engagement strategies.
Gala Procurement Lead
- Responsible for procuring live auction packages, tangible auction items, in-kind donations, and event underwriting support through strategic outreach and relationship management. Coordinates the collection, documentation, valuation, packaging, and presentation of donated items to maximize fundraising success. -Oversees donor acknowledgment and follow-up activities, including thank-you communications, tax documentation, impact reporting, and fulfillment of donor benefits, fostering long-term engagement and support for future fundraising initiatives.
Sponsorship Program Lead
- Develops and manages sponsorship and advertising programs by identifying, cultivating, soliciting, and securing support from local businesses, community partners, alumni, parents, and other stakeholders. Builds and maintains strong relationships with sponsors through ongoing communication, stewardship, and recognition efforts.
- Coordinates all aspects of sponsorship fulfillment, ensuring sponsors receive the benefits associated with their giving level, including advertising placements, event recognition, signage, program listings, tickets, hospitality, and post-event acknowledgments.
- Tracks sponsorship commitments, payments, and deliverables to ensure accurate execution and exceptional donor service.
Other School Events - Support
- Collaborates effectively with multiple school departments, volunteers, and community stakeholders to coordinate other school events and advance institutional goals.These events include but are not limited to: -President's Leadership Reception, Spotlight Cabaret, Surf & Turf, Grandfriends Day and Hall of Fame.
Support Responsibilities Include
- Maintain project timelines and ensure all deadlines are met for your specific duties.
- Collaborate with the department and designer, printer, and marketing department to produce promotional and event materials consistent with organizational branding.
- Collaborate with the department to plan event logistics, including venue setup, audiovisual requirements, décor, registration, and post-event cleanup.
- Assist with catering order and supplies
- Support recruiting, training, and supervising volunteers and onsite vendors to ensure seamless event operations.
- Oversee registration, checkout, and donor stewardship processes before, during, and after events.
- Tracks and reconciles event revenue and expenses with the department, preparing comprehensive financial reports and analyses to evaluate event performance and support future planning.
- Conducts post-event evaluations and prepares comprehensive registration reports to assess outcomes, identify opportunities for improvement, and support future event planning.
Development Team Responsibilities
- Provides responsive and professional customer service by promptly addressing inquiries from donors, alumni, parents, and community members.
- Contributes to the production of the BBHS Magazine through copywriting, content development, editing, and coordination of publication materials.
- Supports Annual Giving efforts by assisting with donor cultivation, solicitation, stewardship, and fundraising initiatives.
- Assists with campaign outreach, special projects, and fundraising events, providing flexible support as needed to ensure successful execution.
- Maintains continuity of office operations by assuming key responsibilities and providing administrative support during the absence of other Development team members.
Desired Qualifications
Proficient in the following types of software is helpful: Google Workspace (formerly G Suite), Raiser's Edge, Greater Giving, Canva, Constant Contact and Veracross
Must be able to lift 40 pounds to waist level
Preferred Qualifications
Passion for and understanding of Catholic education with an ability to actively engage in a faith-based environment.
BA degree in Hospitality, Business, Communications, Marketing, or previous experience in auctions, fundraising, sales and/or event planning. Or a minimum of 3 years of experience in a comprehensive development program.
Experience with one-to-one donor solicitation.
Strong project management skills, including excellent verbal and written communication, exceptional organization, and the ability to prioritize, multitask, lead, direct, and solve problems effectively and efficiently.
Detail-oriented, results-driven, self-motivated, proactive, articulate, resourceful, and creative.
Ability to anticipate and plan for potential scenarios that could impact event integrity.
Capable of working well under pressure and addressing potential issues that may arise.
Team player who thrives in a collaborative office environment.
Availability for occasional nighttime and weekend work as required by event schedules.
Compensation And Benefits
This is a full-time position and salary rate commensurate with related education and or experience. This position is eligible for benefits.
