Title: Advancement Services Coordinator

Position Summary: The Advancement Services Coordinator provides administrative and database support for the Office of Advancement, including gift entry and stewardship, database maintenance and reporting, prospect research support, and department bill processing. This position works closely with the Advancement team to ensure accurate, well-maintained donor records and reliable data to support fundraising initiatives.
This position requires a highly organized, detail-oriented self-starter who is able to work with ambiguity and serve as a collegial, collaborative partner within the school community. Must demonstrate confidence and poise in interactions with donors and volunteers. This is a non-supervisory, individual-contributor role.
Key Responsibilities
- Maintain proficiency in Raiser's Edge (mandatory) to support day-to-day database operations, gift entry, and reporting needs.
- Accurately enter gifts process gift acknowledgements and run weekly reports.
- Support database maintenance activities, including updates related to the Annual Fund appeal, major gifts, and capital campaign gifts.
- Create profiles to import incoming constituent data for students and parents, including education, employment, and relationships, using Importomatic.
- Maintain accurate and up-to-date constituent records.
- Generate queries and reports as needed to support the Advancement team.
- Assist with communication and ongoing data migration efforts.
- Provide administrative support for portfolio and prospect management systems, and assist in tracking strategic metrics that serve as a dashboard of fundraising performance indicators, in coordination with Director of Annual Giving.
- Assist with prospect research, including web research, prospect identification, and analytics; compile prospect lists based on wealth screening data.
- Support donor recognition practices, including assisting with production of the annual report of gift recognition, editing for the ND Journal
- Assist with donor recognition and cultivation/stewardship activities and events.

- Mandatory proficiency in Raiser's Edge donor database software
- Excellent writing and interpersonal skills

Education And Experience Requirements
- Bachelor's degree required.
- A minimum of 2 years of experience with fundraising/development database software required, with mandatory proficiency in Raiser's Edge.
- Experience with prospect research software, such as Wealth Engine, preferred.
Other
A background and fingerprint report will be conducted and submitted to State authorities as required by law for all personnel working within a school environment. Must be willing to undergo Catholic Diocese VIRTUS certification.
