Position Title: Wedding Coordinator
Job Classification: Non-Exempt, Part-Time
Reports To: Executive Assistant to the Pastor
Schedule: 4-8 weekly hours - As Needed Depending on Wedding Schedule
Pay Range: $34.00 - $36.00 hourly
Summary
The Wedding Coordinator position is a part-time, non-exempt, at-will position working in
the Church and Pastoral Center of Mission Basilica San Juan Capistrano, reporting
directly to the Executive Assistant to the Pastor. The Wedding Coordinator is responsible
for overseeing all aspects of a couple's wedding day to ensure a seamless and
memorable experience. This role requires exceptional organizational skills, and the
ability to manage multiple vendors and timelines simultaneously.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Because all Mission Basilica San Juan Capistrano Church employees represent the Roman Catholic Church, they are expected to conduct themselves according to the goals and mission of the Church in performing their work.
Typical duties may include, but are not necessarily limited to the following:
- Meet with the Executive Assistant to the Pastor to understand the couple’s preferences and then translate those into a successful rehearsal and wedding day plan.
- Coordinate vendors including florists, photographers, musicians, and officiating priests on the day of the wedding.
- Manage couples needs and communicate Basilica rules and procedures.
- Follow and maintain detailed timelines for the rehearsal and wedding.
- Conduct venue walkthroughs and rehearsal coordination.
- Serve as the primary point of contact on the wedding day, managing logistics and troubleshooting issues in real time.
- Coordinate guest logistics including seating arrangements, and special accommodations.
- Handle last-minute changes or emergencies with composure and professionalism
- Responsible for having a professional appearance.
- Perform related duties and responsibilities as required.
Qualifications
Job Knowledge, Skills and Abilities:
- 2+ years of experience in event planning or hospitality (wedding-specific experience preferred)
- Excellent bilingual (Spanish/English) communication skills.
- Ability to provide excellent customer service to parishioners, public, visitors, coworkers, volunteers and others.
- Ability to establish and maintain effective working relationships with diverse individuals and groups.
- Ability to exhibit dependable and reliable work habits.
- Strong organizational and multitasking abilities
- Ability to work evenings, weekends, and holidays as required
- Ability to work with a minimum amount of supervision under challenging conditions using effective problem-solving skills
Education And Experience
Education: High School diploma or equivalent.
Experience
- Prior coordinator experience a plus.
- Previous experience in a customer service position.
Working Conditions
- Working environment includes a church and an office setting.
- Extensive contact with the public.
- Job functions may require prolonged periods of moving or standing; walking on uneven ground; climbing stairs; lifting and carrying 5 to 10 pounds.
